Knowledge sharing in Metroselskabet

Metroselskabet builds and operates the Copenhagen Metro, which with 24-hour operation and serves 108 million passengers a year

Challenges in a fast-
growing organization

The development of tasks and the desire for more digitization in the company entails an increasing need for onboarding of new employees and knowledge sharing.

This entails major challenges regarding the management and availability of mandatory knowledge about e.g., work processes, security procedures, cyber-security and GDPR rules.

Knowledge is essential for operations and security as described in these case stories.

Knowledge365 ensure knowledge to
the right person, time and place

To solve these challenges, the knowledge sharing system Knowledge365 is used, which ensures that the individual employee has taken the mandatory training and that the latest updated version of documentation is available to the employee where and when the person needs it.

With Knowledge365, the employee gets access to targeted information related to the work situation while working on a given task.

A green check mark gives the employee assurance that he has met training requirements. The access to knowledge takes place via Microsoft Teams, and links to Knowledge365 have also been implemented via Metroselskabet’s intranet.

“The user experience is unproblematic; There are no problems when the user is in the system and has to do the training or find knowledge.”

Many sources of knowledge

Metroselskabet benefits from the fact that everyone with relevant knowledge can contribute to the system. The goal is individualized, situational knowledge sharing so that the user avoids having to search through large amounts of information to find the right knowledge.

Likewise, Knowledge365’s architecture means that you can pull information and knowledge from existing repositories such as SharePoint, YouTube, shared drives, etc. This makes previously “unknown” or forgotten knowledge actively available in a simple and user-relevant way.

Metroselskabet sees this as a great advantage, as much knowledge is lost in repositories with limited opportunity to find the relevant knowledge. Described in Case Stories.

Business benefits are clear

A major risk for Metroselskabet is, of course, if safety regulations are not complied with in the large construction and operating activities. Likewise, Metroselskabet, like all other companies, experiences a great need to increase employees’ competencies and compliances. Knowledge365 helps minimize these risks, which can potentially have sky-high costs for the company.

Before implementing Knowledge 365, all training and knowledge sharing was done through manual processes. It was difficult to get an overview of the status and for users it was hard to know if they had access to the latest knowledge. With Knowledge365, that uncertainty has been removed, making it simpler for employees

Metroselskabet looks ahead

Metroselskabet sees opportunities in further developing the use of Knowledge365. A first project is targeted, individual knowledge sharing about the use of a future case and project documentation system.

Where Knowledge365 today is mostly used for knowledge sharing, in the future it will also be used for system and process implementation / execution. The individual user will be supported in the use of the system depending on the task to be performed.
